As we continue to expand, we are seeking a highly organized, proactive, and technology-savvy Administrative Assistant (Virtual) to support the Office of the CEO and help drive operational excellence across the organization.


About the Role

As an Administrative Assistant, you will work directly with the CEO and leadership team, serving as a key operational partner responsible for helping coordinate day-to-day business activities across multiple departments.

You will gain exposure to executive operations, marketing, hiring, business development, AI-powered workflows, and strategic initiatives while helping keep the organization running efficiently.

This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, embraces technology, and enjoys solving problems before they become problems.


Key Responsibilities

Executive & Administrative Support

  • Work directly with the CEO's Office on daily operational activities 
  • Manage executive calendars, scheduling, and meeting coordination 
  • Assist with internal communication and follow-up on key action items 
  • Prepare reports, presentations, summaries, and business documentation 
  • Help track priorities, deadlines, and ongoing company initiatives 
  • Coordinate meetings with clients, partners, vendors, and internal teams 

Hiring & Talent Acquisition Support

  • Participate in recruiting and hiring activities 
  • Coordinate interviews and candidate communications 
  • Review applications and maintain applicant tracking systems 
  • Schedule interviews and support onboarding processes 
  • Help create job postings and recruitment campaigns 

Marketing Operations

  • Assist with marketing campaign coordination 
  • Support social media publishing and content scheduling 
  • Coordinate marketing projects across internal and external stakeholders 
  • Maintain marketing calendars and campaign timelines 
  • Track campaign activities and support reporting efforts 

Client Scheduling & Coordination

  • Manage appointment scheduling and meeting logistics 
  • Coordinate client consultations, discovery calls, and strategy sessions 
  • Ensure smooth communication between clients and internal teams 
  • Maintain CRM records and scheduling systems 
  • Support customer relationship management processes 

AI & Productivity Operations

  • Utilize modern AI tools to improve operational efficiency 
  • Assist in implementing AI-powered workflows and automations 
  • Support internal productivity initiatives using platforms such as ChatGPT, Claude, Gemini, Make.com, Zapier, Notion, and related tools 
  • Identify opportunities to streamline repetitive tasks and business processes 
  • Help document and optimize operational workflows 

Research & Content Management

  • Conduct market, industry, competitor, and business research 
  • Gather information to support strategic decision-making 
  • Assist with content publishing and basic website updates 
  • Maintain internal knowledge bases and operational documentation 
  • Support content organization across company platforms 

Qualifications

Required

  • Excellent command on English language
  • Impeccable written and verbal communication skills 
  • Strong organizational and time management abilities 
  • High attention to detail and accuracy 
  • Ability to manage multiple priorities simultaneously 
  • Comfortable working independently in a remote environment 
  • Strong proficiency with AI Tools, Google Workspace and Microsoft Office 
  • Professional, proactive, and solution-oriented mindset 

Preferred

  • Experience supporting executives, founders, or leadership teams 
  • Experience in administrative, operations, project coordination, marketing, or executive assistant roles 
  • Familiarity with CRM platforms and project management tools 
  • Exposure to AI tools and workflow automation platforms 
  • Experience working in a digital marketing, technology, consulting, or startup environment
